welcome, introductions
Old Business
approval of minutes from Annual
DttP update
- a lot of submissions for docs 2.0 (some going online as a supplement)
- a lot of submissions for the cover contest--will be putting these up on the GODORT wiki
- came in under budget this year (advertising cheaper than expected)
- trying to promote DttP outside of GODORT
- contributions from a number of library schools
- DttP packet: ALA copyright forms, spark (sp?) addendum
- authors would be able to post stories after publication, and open access archives as well (six month embargo)
- Meta-press
- hosted on ALA's site (already hosting TechSource)
- could make DttP available to institutional subscribers
- IP authentication
- MP provides XML files
- can purchase a single article for about $3
- can create post-prints for authors (prints of just that article
- still looking several questions and the Meta-press proposal
- downloads of articles from DttP through a database (journal aggregator); small amount (like 15%) fee
- DttP has right of first refusal on printing GODORT presentations
- five years of DttP content sitting behind the firewall for GODORT members
- proposal: move everything except the last two issues out for public consumption
- this would agree with Wilson's policy of grabbing issues except the last two
- this will need to be discussed in Steering
- would need to work on where it goes on the GODORT website
- about 16 issues, maybe move to another page
- current archive is on the Stanford site; current ones are on the GODORT site--maybe we should keep this the same way to get around the firewall issue
- Stanford site provides full-text searching
- maybe still keep archived copies on the GODORT site
- put note at the top of the page that says "for non-GODORT members, all but the last two issues (and the gap) are available on the Stanford site."
- need a six-month resolution taken to Steering: move that all but last two issues be made freely available to the public
Notable Documents Update
- two handouts
- in June, Jim will send a list of titles and URLs to Andrea for use as cover of DttP (issue 4)
- suggestion from James Jacobs: page on GODORT website that shows all submissions?
- at Annual, Jim will need to select three new panel members
- need to write a letter of thanks to Linda for her great job on this
Occasional Papers
- it passed in Steering I
- concerns in Steering: will Chair and Chair-elect, as team members on this, necessarily have editorial content
- suggested coming back to the issue in 2+ years (in Steering)
- publicity: where to post
- needs to be added to the PPM
- remove some of the "format" section (c, d, and e)
Book update and publicity
- "Managing Electronic Goverment Information in Libraries"
- asked GODORT treasurer if there are funds available for publicity
- need possible publicity ideas before treasurer can commit funds (ideas from Pub. Com. and then from Steering)
- Roscuso (sp?), endowment and long-term 5-year campaign
- GODORT website, GovDoc-L
- more subject-specific areas like reference and info literacy, cataloging groups (within ALA and outside)
- promoting to public libraries: PLA
- can GODORT get an Amazon account and link it on our website for purchase
- send it to the state libraries: Regional-L and ask them to re-post to their state lists
- also FDLP-L (ask Ric Davis)
- create a one-page flyer for us to distribute on the state level
- quarter-page filler ad in DttP
Serial Set book proposal
- Donna read report about book she and Aimee Quinn have been working on
- looked at revising content in order to more closely align with publishers' categories of books
- revised outline from the review of John Phillips and August Imholtz
- asking for comments and approval to procede with Readex as possible publisher
- would no longer be a GODORT publication
- is the goal to make this information available in the best possible way? Or to create GODORT publication?
- book would be provided free for Readex Serial Set subscribers, and availalbe for sale to all others
- there may be room for two publications, but again there was no jump on the previous book proposal
- see handouts: report and new proposed outline
- since Aimee isn't present to comment on what she and Donna want the book to be, Donna will discuss this with her later
- then Barb will present this to the committee online and we'll have a virtual vote
New Business
DttP editor term running out
- looking at position description (from 2005)
- need to have this person in place by Midwinter 2009 (term is issue #2 is 2009)
- post the ad in GovDoc-L, take to conferences, word of mouth, on GODORT website, Chair received applications, committee decides who to call for interview
- interview at Annual or at Midwinter (just make the decision before end of MW)
- must be or become a member of GODORT to be DttP editor
- need to add to duties: regular reporting on DttP revenue and expenditures (Andrea does it, but it's not currently required)
- also change to: "a team-based model" for management (rather than single editor model), because it's nearly impossible to do when you have a full-time job
- does this require a PPM change (to approve an entire team), or just at the interview see a plan the candidate proposes for their team (already have names)--the editor is approvied then based partially on their team, but the team itself is not approved or not
- perhaps "applications should include information about selected team," etc. -- provide a CV for each proposed team member
- perhaps add to requirements: understand issues pertained to publicity; but Andrea didn't have this background when she started
- removing "demonstrated" from requirement on familiarity with govdocs
- not quite as much time committment as chair of GODORT, but a lot; 80 hours per DttP issue versus close to 50% of your FT job time
- web administrator (or anyone else) can't manipulate the DttP files behind ALA's firewall
- Barb will send the revised version of the position description out to Pub. Committee for review (after MW)
consideration of Google Group for communication management
- James Jacobs discuss this possibility: he's set up a group, but we haven't switched over to it yet
- easy way to track our communication; it's archived
- it's been made private
- can upload documents; good way to distribute and edit agendas, proposals, etc.
- privacy concerns about longevity of archive, as it concerns personnel issues, CVs, etc.
- James will send out a link to the group so everyone can try it out; also send some basic information about it
