Telnet Instructions

 

Look Up a Record

  • by dewey call number
    • insert a lower-case L in front of the dewey #
    • l821.B58zsc
  • by LC call number

 

Two Ways to Edit a Record

  • insert fields from the record screen (comes up when you find a record)
    • must already know fields to enter
    • "i" for insert
    • then enter field tag
      • "d" for subject
      • "n" for note
  • use full screen editor
    • best for entering a lot of data
    • click "F" for full screen
    • "Control + O" toggles off overwrite (insert mode)
    • type line # to edit a field
      • hit enter to keep field # and delimiter
      • retype data (only hit enter again if deleting existing field information)
    • use arrow keys to navigate record
    • "Control + N" for new line (place cursor at beginning of record which new line should appear in front of)

Cataloging Instructions

 

Subject

  • 655 7 = subject field, local vocabulary, vocabulary type will be designated in field
    • bookplates as a subject go here
    • printed books subject= Printed books|yCENTURY|zCOUNTRY|zSTATE (US only)zCITY|vSpecimens. (format)|2 local (vocabulary)
    • use pipe character to separate each section, right before delimiter, no spaces
    • example = Printed books|y20th century|zUnited States|zRhode Island|zProvidencevSpecimens.|2 local

  • 500
    • notes that apply to every copy of the book
    • "Edition is limited to 500 copies."
  • 561
    • provenance description
    • input associated names in 700 field
  • 563

    • notes that are unique to the UNT-L copy

    • "Library's copy is #."
  • general notes rules
    • in quotes = assumed to be obtained from title page or back of title page
    • anywhere else = denote where information was obtained with double dashes and label

Alternate Author

  • 700's general
    • use 700's to add anything that people might want to search by that is some kind of name
    • provides an accurate record of what Rare Books has and the unique qualities of our collection
    • increases patron access
    • makes it easier for librarians to perform complex searches for patrons
      • example = "I'm looking for Spanish bookplates from the 18th century."
  • 700
    • include names associated with provenance of book (see field 561)
  • 710 2
    • add information from imprint, as well (because imprint field isn't searchable)
    • use OCLC Authority Search for preferred version of name (see below)
    • use "e" delimiter to designate function
      • example = Stonehour Press,eprinter.
      • example = Brown University Press,epublisher.

Authority Search

  1. select "authorities" from top menu
  2. select "browse"
  3. select "LC Names / Subjects"
  4. for publisher/printer, select "corporate/conference"
  5. double-click on authority name to view details / preferred version
  6. can copy preferred version (cntl + c)
  7. paste in iii = shift + insert (700's fields for alt. author)
  8. if no results, try "search" instead of "browse"
  9. use keyword searches and designate type (corporate/conference)
