UNT-L CMS Training
Rights
Contents Tab
- lots of folders
- also some objects (anything that isn't a folder)
- contents tab shows what is in any particular folder
- can order items up and down (how they appear in lists)
- published, unpublished, state, etc.
- published and locked are the only states viewable to the public
- batch publish with "change state"
- this works, even though you get an error message each time afterward
Edit Tab
- what you're looking at (folder, object, etc.) affects what you see in the "edit" tab
- where you make changes
Properties Tab
- metadata, essentially
- dates, creator, keywords, etc. (information about the object)
- changes according to the object or folder type
Other Options
- "add" option (entry page, link, folder, etc.)
- remember to first make the title a short, usable URL
- you can edit it to a longer one later
- normal word-processing edit options in the "body" area
- fonts and colors are specified by the system
- "related items" for connecting to similar pages on the UNT-L website
- in order to add an image into the "body" area, it already must be uploaded to the CMS (exist in the database)
- you can link to something that is not published (it's allowed by the system), but those outside the university will get an error message
- strongly recommend that tables are only used for numeric, tabular data, not for formatting
- anchors: jump to specific places on the webpage
- it uses the styles to make the jumps (doesn't use HTML like the anchors in Dreamweaver, etc.)
- jump to heading, subheading, etc.
- "manage anchors" lets you choose specific anchors to jump to (instead of all that use that style)
- can create a table of contents for these anchors at the top of the page
Display
- defaults are various folder views: shows all items in that folder, with various formatting options
- for other display options for folders, choose "select a content item as default view"
When You've Lost a Page
- click on your name on top right
- will display all pages you've created
Entry Pages
- only item that enables you to display a picture in a list
- most units have extry pages for the home page
- special collections and exhibits all have entry pages
- add keywords (using Properties tab) to these entry pages to be sure they are displayed in, for instance, "digital collections"
Location Pages
- for building locations, maps, etc.
Hours Page/Folder
- don't duplicate it elsewhere; link to it from other areas of your unit's pages, if necessary
- only one place that you'll have to change hours on each semester/holiday, etc.
FAQ
- only thing you can add is a FA Question
- should be short (both question and answer)
- FAQs are drawn from all units into the Main FAQ Page...
- ordered by category, BUT:
- in order for questions to appear there, they must use "keywords" on the "properties" tab
- Main FAQ Page uses categories to search for keywords: lists results
News
- teaser: tagline (small amount of info)
- after publishing, must set to "global permission" in order for it to appear on the library homepage
- manual process by Kristen
Job Posting
- there's a lot of helpful explanation for each text field
- add keywords based on job function (applicants can search based on job function)
How to Upload Images
- there is a big tutorial on how and when to use images
- make sure they are only as BIG and as HIGH RESOLUTION as is absolutely necessary
- large/hi-res images are a drain on the system
- from your unit homepage, go to the contents tab
- there is an "assets" folder
- one subfolder for images, and one for PDFs (if need one for generic files, add a new folder)
- if you have a lot of images for one event/etc., you might want to add a specific folder for it
- easier on the system to have more subfolders to subdivide and organize content
- adding a file is pretty straightforward
- "browse" takes you to your computer
- anything you upload exists in a draft state; if you don't publish, it can't be seen
